2. What data we collect and why

Visiting our website

When you visit logospayments.com, we collect technical data such as IP address, browser type, device, language, pages visited and time of visit. Some of this is needed to run the website securely. Statistics and marketing data are only collected if you accept the relevant cookies (see section 5).

  • Purpose: to operate and secure the website, understand how it is used, and improve content.
  • Legal basis: our legitimate interest in running a secure website (GDPR art. 6(1)(f)) and, for statistics and marketing cookies, your consent (art. 6(1)(a)).

Contacting us

When you email, call or use a form on our website, we process the information you give us, typically name, company, job title, email address, phone number and the content of your enquiry. Our forms are protected by Google reCAPTCHA to prevent spam.

  • Purpose: to answer your enquiry, send offers you request and follow up on a possible business relationship.
  • Legal basis: our legitimate interest in responding to enquiries and developing our business (art. 6(1)(f)), or steps taken at your request before entering into a contract (art. 6(1)(b)).

Newsletter

If you sign up for our newsletter, we process your email address, name and company (if provided), and information on whether you open our emails and click links.

  • Purpose: to send you news about our products, releases and events.
  • Legal basis: your consent (art. 6(1)(a)). You can unsubscribe at any time via the link in every newsletter.

Customers, partners and suppliers

For businesses we work with, we process contact details of the people we deal with (name, title, email, phone), communication history, and the information needed to deliver, invoice and support our products and services. Users of our customer portal and support services are also registered with login and usage data.

  • Purpose: to enter into and perform agreements, provide support and service, invoice, and meet our accounting obligations.
  • Legal basis: performance of a contract (art. 6(1)(b)), our legitimate interest in managing business relationships (art. 6(1)(f)), and legal obligations, e.g. under the Danish Bookkeeping Act (art. 6(1)(c)).

Job applicants

If you apply for a job, we process the information in your application, CV and any other material you send us, plus notes from interviews.

  • Purpose: to assess your application and run the recruitment process.
  • Legal basis: steps taken at your request before entering into a contract (art. 6(1)(b)) and our legitimate interest in recruiting (art. 6(1)(f)). If we want to keep your application for future positions, we will ask for your consent.

Payments made at our terminals

Our payment terminals are operated by our customers, for example fuel stations, car washes, charging operators and vending operators. When you pay at one of these terminals, the operator of the site is responsible for your personal data, and Logos processes transaction data on the operator’s behalf as a data processor. Questions about a specific payment should be directed to the operator where you made the payment. This policy does not cover that processing.

3. Who we share data with

We do not sell personal data. We share data only when needed for the purposes above:

  • Service providers (data processors) that help us run our business, such as website hosting, CRM, email and newsletter services, IT and cloud services, and accounting systems. They may only use the data on our instructions and under a data processing agreement.
  • Companies in the Logos group, including Logos AB in Sweden, when needed to serve you.
  • Partners and distributors, if your enquiry concerns a market or product they handle for us.
  • Analytics and advertising providers such as Google and LinkedIn, if you have consented to statistics or marketing cookies.
  • Authorities and advisers, such as auditors, lawyers or public authorities, when required by law or needed to establish or defend legal claims.

4. Transfers outside the EU/EEA

Some of our service providers, for example Google and LinkedIn, may process data outside the EU/EEA, including in the United States. When this happens, we make sure the transfer is covered by a legal transfer mechanism, such as the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses. You can contact us for more information about the safeguards used.

5. Cookies

We use cookies and similar technologies on our website. Necessary cookies make the website work, for example remembering your language and your cookie choices. Statistics cookies (such as Google Analytics) help us understand how the website is used. Marketing cookies (such as the LinkedIn Insight Tag) help us measure and target our campaigns.

We only set statistics and marketing cookies if you consent. We use Cookiebot to manage your consent. You can change or withdraw your consent at any time: change your cookie settings.

The full, current list of cookies used on the website is shown below.

6. How long we keep data

We keep personal data only as long as needed for the purpose it was collected for:

  • Enquiries and prospects: as long as there is an active dialogue, and then for up to 2 years after our last contact.
  • Customers, partners and suppliers: for the duration of the relationship, and afterwards as long as needed to handle claims. Accounting records are kept for 5 years from the end of the financial year, as required by the Danish Bookkeeping Act.
  • Newsletter: until you unsubscribe.
  • Job applications: up to 6 months after the recruitment process ends, unless you consent to a longer period.
  • Cookies: as stated in the cookie list above.

7. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you
  • have incorrect data corrected
  • have your data erased
  • restrict our processing of your data
  • receive your data in a portable format (data portability)
  • object to processing based on our legitimate interests, including direct marketing
  • withdraw your consent at any time, without affecting processing that took place before

Some rights have conditions or exceptions, for example where we are required by law to keep data. To use your rights, email info@logospayments.com. We will respond within one month.

8. Complaints

If you are unhappy with how we process your personal data, please contact us first so we can try to resolve it. You can also complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark, www.datatilsynet.dk, or to the data protection authority in the EU/EEA country where you live or work. In Sweden this is the Swedish Authority for Privacy Protection (IMY), www.imy.se.

9. Security

We use technical and organisational measures to protect personal data against loss, misuse and unauthorised access. These include access controls, encryption in transit, and agreements with our service providers.

10. Changes to this policy

We may update this policy when our services or the law change. The date at the top shows when it was last updated.
